Events in The Edge:

The Edge regularly hosts workshops, programs, and special events that showcase scholarly research. We are particularly interested in programs that:

  • Engage users in new research methods
  • Engage users with important research issues, such as intellectual property and open access
  • Include researchers across disciplines
  • Showcase research, especially cross-disciplinary research
  • Leverage new technologies
  • Are open to  the entire Duke Community

Decisions about use of the space and co-sponsorship are at the sole discretion of the Libraries. Preference is given to events that align with The Edge’s mission to provide a collaborative space for interdisciplinary, data-driven, digitally reliant or team-based research. 

Use Guidelines

What are the general guidelines for using spaces in The Edge?

  • Priority use: Workshops or presentations that highlight the mission of The Edge: interdisciplinary, team-based, data-driven or digitally reliant research.
  • The Workshop Room is normally available only for events during regular Perkins/Bostock Library hours.
  • The Edge Workshop Room is locked. To access this room on the day of your event, please check out a key from the Perkins Service Desk. You will need to return the key immediately following your event.

How can I reserve a room for my event?

Submit a programming proposal form with the details of your event; Edge staff will review your proposal and follow up to confirm your event

Occupancy

The Edge Workshop Room can hold 49 occupants in its default seminar-style setup with tables and chairs. It can hold an additional 21 chairs with additional chairs around the perimeter and aisles. Tables may be removed by your staff to seat up to 70 participants.

What technologies are available in The Edge Workshop Room?

  • The speaker’s station has a dedicated laptop connected to a projector. There are no additional computers or laptops in The Edge Workshop Room.
  • The room contains VGA, HDMI and Mac connectors.
  • You may not modify the computer hardware or software configurations unless given prior approval by Libraries Information Technology Services (ITS).
  • Audiovisual support in this room is provided by Trinity Technology Services (TTS). Please contact them ahead of time (via this form) if you know that you will need training or assistance.

What previous arrangements must be made to use this room for an event?

Furniture

  • You must notify staff prior to your event if you will need additional seating or tables.
  • You are responsible for setting up furniture prior to your event and returning the room to its original setup after the event.

Food & Catering

  • Food and drink are permitted.
  • Food and drink may not be stored in The Edge refrigerator overnight.
  • You are responsible for all catering arrangements, setup and cleanup. There may be event costs incurred if additional housekeeping arrangements must be made.
  • All catering arrangements must be communicated to and approved by The Edge Coordinator at least one week in advance of the event.

For Conferences:

The Edge can occasionally accommodate conferences, primarily between semesters and during breaks. To submit an application to The Edge to host an all-day or multi-day conference, you must provide the following information:

  • A Duke-affiliated primary contact
  • A fund code to charge back costs related to housekeeping and technical support.
  • Dates and times of the conference
  • Summary of programming
  • Expected attendance
  • Whether attendees will all be Duke affiliates if this conference is open to the larger community or other academic institutions
  • A signed copy of the Workshop Room space usage agreement (available here).

We require that additional housekeeping be retained if food is being served at an all-day event.
