University NetID Services: Admin NetIDs, Aliases, and Listprocs

UIS has three different tools for receiving and disseminating information by e-mail. University departments and offices may request an Admin NetID or Alias to handle the routing of departmental e-mail. Student groups are eligible for Aliases and should work through the Office of Student Programs to request them. The third option, listprocs, can be requested by any member of the Georgetown community. 

Administrative NetIDs and Aliases are appropriate in cases where a general publishable e-mail address is needed--history@georgetown.edu or msfsinfo@georgetown.edu--and where the emphasis is on receiving in-bound e-mail messages. ListProcs are appropriate for the out-bound dissemination of information by e-mail to a large or changing group of individuals.

Note that most three letter combinations are unavailable for Admin NetIDs and Aliases.

Administrative NetIDs
Adminstrative NetIDs are used when a general GUMail account is required.   Please refer to the creation guidelines for Admin NetIDs before making your request.

The owner of an administrative NetID is responsible for any violations of Georgetown University Computer Systems Acceptable Use Policy perpetrated from the administrative NetID and accounts associated with it.

  • Administrative NetIDs have their own GUMail inbox and quota.
  • Administrative NetIDs can appear in the online directory and GUMail address book.
  • Requests for password resets can be performed via the UIS website using the Password Reset request form for Admin NetIDs.
  • The ownership of an Administrative NetID must be transfered to a new owner prior to the owner's departure in order to preserve any stored messages.  Use the Owner change request form forAdmin NetIDs to request changes.

Alias
An Alias routes mail to an existing GUMail or non-Georgetown account.

Note: Aliases are not created for individuals as an alternative for their netid @ georgetown.edu email address.

  • An alias is an e-mail address which routes mail to an existing GUMail or non-Georgetown e-mail account.
  • Messages can be forwarded to a limited number of users simultaneously.
  • The actual destination for the alias can be changed by the alias owner at any time by logging into the routing tool at e-mail routing tool.
  • Email clients like Thunderbird can be configured to make outbound messages appear to originate from the alias.
  • Recipients can add a filter in GUMail which will file any messages addressed to the alias in a particular folder. Note that messages are only filtered to folders when the recipient opens his/her GUMail account.
  • Mail received by the alias counts against the recipient's mail quota. 
  • Aliases can appear in the online directory and GUMail address book.

Listproc
Appropriate when the main goal is dissemination of information by e-mail or recipients can sign themselves up to receive messages.
The owner of the list has the ability to set a range of options including:

  • Open/Closed List--whether subscribers can add or delete themselves or must be added or deleted by the list owner(s)
  • Posting Restrictions--whether subscribers can send messages to the list or whether messages must come from the owner(s)
  • Ownership--up to three owners can initially be designated and then more add after the list is created
  • Moderation--allows the list to have a moderator
  • Archiving--allows mail traffic to be archived

Request Forms

  • Request an Administrative NetID. This form must be completed by the person who will own the adminstrative NetID being requested.
  • Request an Alias. This form must be completed by the person who will own the alias being requested. Student organizations should make alias requests through the Office of Student Programs.
  • Request a listproc. Use this link to request a listproc.

Managing Existing Admin NetIDs, Aliases and Listprocs

  • Administrative NetIDs
    The owner of an admin NetID can change the routing on the NetIDs @georgetown.edu routing address at any time as well as create folders in the GUmail account.

    If the owner of an admin NetID is preparing to leave the University, that person should identify a new owner for the NetID with their department and complete the Admin NetID Owner change request form.

    Request a password reset for an Admin NetID by using the Admin NetID Password Reset request form.

  • Aliases
    To change the e-mail recipient for an alias belonging to a student group, a representative of the group should contact the Office of Student Programs. In the case of a departmental alias, the owner can make changes by logging in to the e-mail routing tool as if they were going to modify their personal routing.

    If the owner of an alias is preparing to leave the University, that person should identify a new owner for the Alias within their department and complete the Alias Owner change request form.
