I. General Policies

  • RESERVATION REQUIRED
Equipment use is by appointment only. No walk-up equipment checkouts will be permitted.
To make a reservation, please fill out the patrons request equipment using this form.
    • You will receive a response within 48 hours confirming your reservation, or in some cases, to reschedule if your request cannot be accommodated
    • Pay close attention to your options and instructions.
    • You should make a reservation at least ONE WEEK in advance, but more is recommended since competition for equipment can be especially high at peak times
    • Please call (202-687-5720) or email if you need to cancel or modify your reservation
  • WHO CAN USE IT?
The DMC supports courses and programs at the School of Continuing Studies. Anyone seeking a more generalized multimedia resource at Georgetown University should visit the GNMC on main campus. All users must be trained before they can use the DMC’s resources.
  • TRAINING
To become authorized users, patrons MUST be trained by the DMC to use all equipment they wish to use (except for the Flip Video camcorders). This is usually done in class; otherwise training sessions need to be scheduled individually. Contact the DMC at scsdmc@georgetown.edu to make training arrangements.
  • AVAILABILITY
    • The SCS DMC only circulates equipment twice a week. It is open Monday and Friday evenings from 3pm until 7pm
    • Patrons can checkouts equipment for 3 or 4 days and equipment is always due the next day that the center is open. Example: If you checked out a camera on a Monday, it would be due back the following Friday
    • The center may occasionally close, due to holidays, in which case equipment can be kept until the next day that the center opens. Special arrangements can be made on a very limited basis to pick up or return equipment at times not during regular hours.
    • No renewals are allowed. Allowances for extended checkouts will be given on a limited basis, and only when requested prior to checkout
  • MEDIA & MEMORY CARDS
Memory cards are provided. All content on the memory cards will be deleted after the camera is returned. It is the responsibility of the student to download/copy the footage from the camera before the camera is returned. A memory card reader is provided with the kit for this purpose, and the Mac Lab is open during the DMC’s hours to facilitate this.
  • SAFETY & RISK
All users of the DMC are expected to take care of the equipment in accordance with the DMC’s use policies, and are directly responsible for damage, destruction or loss.

II. Important Resources:

III. Limitations:

  • Only authorized users may check out equipment during a given semester. Due to limited resources, equipment use is also limited to individuals and classes within the School of Continuing Studies and permissions are given out on a per-semester basis.
  • The center can only support a limited number of classes per semester. Contact the DMC ASAP if you are interested in using the DMC’s resources for your class.

IV. Equipment Use Policies:
Every piece of equipment will have its own safety and care policies that you need to adhere to, but the following apply to all equipment:

  • GENERAL
You are financially responsible for any damage or loss of equipment. All equipment is thoroughly inspected before it is checked out and after it is returned.
  • PRIVILIGES CAN BE REVOKED
Equipment privileges at the DMC will be suspended in either of the following situations:
    • If you fail to bring equipment back on the day that it is due back -- Do not arrange to use equipment if you know that you will not be able to return it
    • If you leave any equipment unattended

V. Safety Principles:

  • Never FORCE anything – Nothing should require excessive force. Stop and review your methods.
  • Never OVER-TIGTHEN – This will quickly wear out the equipment, and you can be fined for it
  • Never leave equipment exposed to EXTREME TEMPERATURES – This includes the trunk of your car.
  • Keep the equipment OUT OF DANGER – Avoid risky environments; e.g. on water, on bicycles, skateboards, or unsafe or remote locations.
  • Never touch or attempt to CLEAN the lens or viewfinder – There is a significant possibility that doing so can cause scratches or permanent damage. All equipment leaves the center cleaned and ready to go.
  • Never point the camera at DIRECT SUNLIGHT or strong light – This will damage the delicate sensor of the camera.
  • Never leave the camera attached to the TRIPOD when moving the tripod – Use the Quick-release plate to remove the camera first. Leaving the camera attached is reckless and can easily cause damage to the camera.
  • Never leave the SCS memory cards OUT – The memory cards belong either in the camera or in the case. They are delicate and expensive – keep them safe
  • Never leave the BATTERY or MEMORY CARDs in the camera when not in use – Leaving battery in will deteriorate its capacity over time.
  • Never leave equipment UNATTENDED

VI. Penalties

  • LATE
Users will be given a $5 fine for each hour the equipment is late past the return time given.  Equipment is late if it is returned after the DMC closes.
  • MISUSE/ABUSE
Equipment privileges can be suspended at any time if the DMC determines that a user is misusing or abusing the equipment in any way. Excessive or repeated late fines are considered abuse of equipment.
  • FAILURE TO RETURN
Any user who fails to return equipment on the day it is due back by the time the DMC closes will lose his or her equipment privileges at the SCS DMC.
  • LIABILITIES
DMC users are liable for lost, damaged, or destroyed equipment. All equipment is inspected thoroughly when it is checked out and returned. You will be billed for damage or missing equipment. Never leave the equipment unattended.
  • FINES
Any fines are sent to student accounts. If not paid in a timely manner, these fines may interfere with your ability to register for classes or graduate until paid. All users will be notified if they owe any fines.
